FightReg for Trainers & Athletes

Everything you need for day-to-day use of the FightReg platform โ€” from first login to competition day.

1. Overview

FightReg is a modern tournament platform built specifically for martial arts. It runs as a Progressive Web App (PWA) โ€” works in any browser and can be installed like a native app on your phone, with offline support.

2. Login & Registration

Sign in as a Trainer

If you were invited by an organiser or admin, you will receive an email with a one-time invitation link. Use it to set your password and sign in directly.

  1. Open the invitation email and click "Activate now".
  2. Set a password (at least 8 characters).
  3. Log in at /login with email + password.
  4. After the first login you are automatically linked to your club.

Did not receive an invitation? Contact your event admin or the FightReg super admin.

Forgot Password

  1. Click "Forgot password" on the login page.
  2. Enter your email address.
  3. Receive a reset link by email (valid for 24 hours).
  4. Set a new password and sign in.

3. Install PWA on Your Phone

FightReg can be installed as an app on your home screen โ€” it then launches without browser bars and has offline support for check-in and start lists.

  1. Open FightReg in Safari.
  2. Tap the Share icon (square with arrow).
  3. Choose "Add to Home Screen".
  4. Confirm name and tap "Add".

  1. Open FightReg in Chrome.
  2. An "Install app" banner appears automatically.
  3. Or: Menu (โ‹ฎ) โ†’ "Install app".
  4. Confirm โ€” FightReg appears in the app drawer.

5. Adding corner coaches

Whoever works the corner on competition day does not need a trainer account with access to invoices. That is what the corner coach is for.

  • A coach sees the same athletes, start lists and brackets as you โ€” only not the invoice.
  • They are created by you, not by another coach.
  • A coach may accompany two clubs, so they do not hang off your trainer record.

6. Manage Participants

Create a New Participant

  1. Navigation โ†’ Participants โ†’ button "+ Participant".
  2. Required: first name, last name, date of birth, gender.
  3. Optional: weight, belt/grade, upload photo.
  4. Save โ€” the FightReg Athlete ID is assigned automatically.

You can also import participants in bulk via Excel/CSV. Download the template from the Import section.

CSV / Excel Import

  1. Navigation โ†’ Import โ†’ download the template (DE or EN).
  2. Fill in the template in Excel / LibreOffice.
  3. Upload the file โ€” preview and verify.
  4. Confirm import. Duplicates are detected automatically.

7. Tournament Registration

Register Club for a Tournament

  1. Navigation โ†’ Competitions โ†’ select the desired tournament.
  2. Click "Register club".
  3. The admin confirms the registration (status: pending โ†’ confirmed).

Registrations are only possible until the configured deadline. After that, only an admin can make late entries.

Book Participants to Categories

  1. Open tournament โ†’ tab "Participants".
  2. Select participant โ†’ "Select categories".
  3. Eligible categories (filtered by age/weight/grade) are suggested.
  4. Select category/categories and confirm.
  5. Booking appears as pending โ€” admin may need to confirm.

8. Check-in Day

QR Code Check-in

  1. Open the QR code scanner in the check-in module.
  2. Scan the QR code from the athlete's participant card.
  3. Details are shown immediately โ€” weigh-in, document check.
  4. Confirm check-in โ†’ status changes to checked_in.

Manual Check-in

  1. Search by name or athlete ID in the check-in module.
  2. Select participant from the list.
  3. Record weight (optional) and confirm check-in.

Weigh-in

The current weight can be recorded at check-in. The system automatically shows whether the weight fits the registered category or whether a category change is needed.

9. Fight calls on your phone

On top of the announcement in the hall, the call can reach your phone โ€” yours and your athletes'.

  1. Install FightReg on the phone (see โ€œInstall PWAโ€).
  2. Allow notifications when the browser asks.
  3. That is all โ€” the call arrives when the fight comes up.

On iPhones this only works if the page has been added to the home screen โ€” a browser tab receives nothing. Do not rely on it alone on the day: the venue announcement remains the safe route.

10. Participant Card (QR Code)

Every participant gets a personal card with its own QR code. It carries name, athlete ID, competitor number, club and competition day โ€” plus the code that opens the card online.

  • Printed on A4 โ€” six cards per sheet, 85 ร— 90 mm.
  • From a receipt printer โ€” 80 mm roll, the preset is called โ€œreceipt 80 mmโ€. The faster route at the check-in desk.
  • Digital โ€” as a browser view; the link can be emailed.

Online the card additionally shows categories, start time, bracket and fight calls. The athlete needs no account for this.

The card address is a public link with a token โ€” whoever holds it sees that one card. No login, but nothing else either.

The card format was deliberately enlarged after a test print: at the check-in desk the old type was too small. Anyone changing the layout should print a sheet first and put it on the desk.

11. Competitor number

The competitor number is a physical bib your athlete wears โ€” the organiser keeps a stock of them and hands them out again every year.

  • Numbers are assigned before competition day, usually for a whole club at once.
  • You receive a listing: who wears which number.
  • The number also appears on the participant card.
  • If someone withdraws, their number becomes free immediately โ€” so tell the organiser early.

Lost or damaged? Say so at check-in. The number is transferred rather than simply reissued โ€” otherwise someone else wears the same one in the afternoon.

12. Athlete Account

In addition to the trainer login, FightReg has a dedicated athlete login. Athletes can register themselves โ€” without needing a club or trainer to set them up.

Register as Athlete

  1. Login page โ†’ "Register as athlete".
  2. Enter name, email, password and FightReg Athlete ID.
  3. The Athlete ID links the account to the participant profile.
  4. After confirmation: access to the athlete dashboard.

The Athlete ID must be provided by the trainer or admin. It appears on the participant card in the format DE-ABC-00031.

13. FightReg Athlete ID

Every participant receives a unique, lifelong FightReg Athlete ID. It is valid across all tournaments and is used for ranking, login and statistics.

14. Athlete Dashboard

The athlete dashboard is the personal overview after athlete login. It shows:

15. Appearance & Language

FightReg supports individual appearance customisation. Use the โš™ button (bottom right) to adjust:

16. AI Assistant

FightReg has a built-in AI assistant (powered by Anthropic Claude) that helps with tournament-related questions.

The AI assistant is only visible if the admin has enabled it (chat_enabled setting). It answers based on real tournament data โ€” no made-up answers.

Example queries:

  • "How many participants have checked in?"
  • "Which categories are still running on mat 2?"
  • "Show me all participants from club XYZ."

17. Live view in the hall

For parents, spectators and anyone without an account there is a live page without login โ€” it runs on their own phone, alongside the projector in the hall.

  • Mats with what is running right now.
  • Venue map โ€” where does my child have to go.
  • Favourites: mark your own mat and it shows in colour, the rest dimmed.
  • Start lists โ€” once the organiser releases them.

The projector in the hall and this page on the phone are two different views. What runs on one does not automatically run on the other.

18. Self-Service Booking (Athlete)

If the organiser has enabled self-service, athletes can register and withdraw from categories directly in the athlete dashboard โ€” without trainer intervention.

Requirements

  • You have an athlete account (ch. 9) and are logged in.
  • Your athlete profile is complete: date of birth, weight, gender.
  • The competition's registration deadline has not passed.
  • The organiser has enabled self-service for this competition.

Booking a category

  1. Athlete Dashboard โ†’ Bookings โ†’ select competition.
  2. "Add category" โ€” only eligible categories are shown (age, weight, gender are checked automatically).
  3. Select category and confirm.
  4. The booking appears immediately in your dashboard with status confirmed.

FightReg automatically checks whether you meet the eligibility criteria (age and weight limits). Ineligible categories are not shown at all.

Cancelling a booking

  1. Dashboard โ†’ select booking โ†’ "Cancel".
  2. Cancellations are only possible before the registration deadline.
  3. After the deadline, cancellations are no longer possible โ€” contact the organiser.

Weight conflict

If you update your weight after booking and the category no longer fits, a conflict is shown. You will be prompted to select a suitable category or cancel the booking.

19. FAQ

I cannot book categories for a participant โ€” why?

Possible reasons: (1) The registration deadline has passed. (2) Your club has not been confirmed for the tournament yet. (3) The participant does not meet the category requirements (age, weight, grade). (4) The category is already full.

Why is the check-in button greyed out?

โ–ถ

Check-in is only possible when the participant has the status confirmed. Make sure the booking has been confirmed and the club is approved for the tournament.

I did not receive an invitation email โ€” what now?

Please (1) check your spam folder, (2) contact the event admin who can resend the invitation, (3) the admin can also set a temporary password.

How do I get my FightReg Athlete ID?

The Athlete ID is assigned automatically when the participant is created. It appears on your participant card and can be provided by your trainer or admin. Format: DE-ABC-00031.
